This Privacy Policy describes how Altrum (“Altrum”, “we”, “us”, or “our”) collects, uses, and discloses personal information in connection with the Altrum Sales Channel Shopify application (the “App”).
This Privacy Policy applies to merchants who install or use the App, and to personal information processed through the App in connection with order fulfillment and related services.
Scope of This Policy
The App enables Shopify merchants (“Suppliers”) to make their products available through Altrum’s services, including recognition and rewards platforms (such as Celebration), and facilitates order fulfillment for end recipients.
Altrum processes personal information on behalf of its clients to deliver products and related services. The App is not intended for direct use by consumers.
Information We Collect
We collect and process the following categories of information through the App:
Product Information (Non-Personal)
From Shopify, we collect product-related data such as product titles, descriptions, SKUs, images (including variant images), pricing, availability, and inventory levels. This information does not include personal information.
Order and Recipient Information
When an order is placed through Altrum’s services, we may process recipient information, including the recipient’s name, shipping address, email address (for digital delivery or notifications), as well as selected product and order details. This information is required solely for order fulfillment and delivery.
Fulfillment Information
From Shopify, we receive updates related to orders created through the App, including shipment status, tracking numbers, and carrier information.
Technical and Operational Data
We may process limited technical data necessary to operate and secure the App. This includes system logs, error logs, API transaction data, and temporary ingestion data used for processing high-volume integrations. This data may include personal information only where strictly necessary for system functionality.
Sources of Information
We collect information from multiple sources in order to operate the App and deliver our services. This includes information obtained from Shopify through APIs used by the App, information provided by Altrum clients who initiate orders through Altrum platforms or via the sales department, and information provided by merchants (Suppliers) who install and configure the App.
How We Use Information
We use the information described above strictly for the following purposes: to enable product synchronization between Shopify and Altrum systems; to process and route orders to Shopify merchants; to facilitate the fulfillment and delivery of products; to provide shipment tracking and delivery notifications; to maintain system functionality, security, and performance; and to comply with legal and contractual obligations.
What We Do Not Do
Altrum does not use personal information collected through the App to send marketing or promotional communications, perform profiling or behavioral analysis, sell, rent, or trade personal information, conduct cross-site or cross-merchant tracking, or use personal information for unrelated commercial purposes.
Recipients created through the App are configured as opted out of marketing communications.
Disclosure of Information
We may share information with trusted service providers solely as required to deliver the services. This includes Shopify for order processing and fulfillment, merchants (Suppliers) to fulfill orders, shipping carriers such as FedEx, Canada Post, GLS, and Purolator, logistics and shipping platforms such as ShipStation, and hosting and infrastructure providers such as Microsoft Azure. All such disclosures are limited to what is necessary for the performance of the services.
Data Location and Transfers
Altrum systems supporting the App are hosted in Canada.
Personal information may be processed or accessed by service providers, including Shopify, in other jurisdictions where required to deliver the services. In such cases, appropriate safeguards are implemented to protect personal information in accordance with applicable laws.
Data Retention
We retain information based on the nature of the data and the purposes for which it is processed. Product data, which does not include personal information, is retained as long as required for service operation. Order-related personal information is retained for up to seven (7) years, or as required by legal, tax, or contractual obligations. Temporary ingestion data is retained for approximately 30 days, and system and application logs are retained for approximately 90 days.
Where retention is no longer required, personal information may be securely anonymized in accordance with applicable laws. Retention periods may also be adjusted based on instructions from Altrum clients or legal requirements.
Data Subject Rights
Depending on applicable laws, individuals may have the right to request access to their personal information, request correction of inaccurate information, and request deletion or restriction of processing where applicable.
Requests should be directed to Altrum using the contact information provided below. Where Altrum processes information on behalf of a client, such requests may be handled in coordination with that client.
Security
Altrum implements appropriate technical and organizational safeguards to protect personal information. These measures include encryption in transit and at rest, access controls and authentication mechanisms, secure infrastructure hosted in Canada, and monitoring, logging, and incident response processes.
No system can be guaranteed to be completely secure; however, we take reasonable measures to protect information under our control.
Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes to our practices, legal requirements, or the App. Updates will be posted on this page with a revised “Last updated” date.
